TechPilot Privacy Policy

Your privacy is extremely important to us. To better protect you, we provide this notice explaining our online information practices and the choices you can make about the way your information is collected and used.

This Privacy Policy relates to information collected by TechPilot Labs, Inc. (referred to in this Privacy Policy as "TechPilot" "we" or "us" or "our") through your use of our website and our products including SchoolMDM, ChromeTools, Parent Portal and other cloud-based offerings together referred to as “Services” or “Products”.

Web Site Visitors:  We use Google Analytics remarketing codes, which uses DoubleClick to log when users view specific pages or take specific actions on a website. This allows us to provide targeted advertising in the future. If you do not wish to receive this type of advertising from us in the future you can opt out using the DoubleClick opt-out page or the Network Advertising Initiative opt-out page.”

TechPilot Users: the remainder of this document is in regards to those who subscribe and use TechPilot services, typically school personnel who utilize our system.  A separate privacy policy is available for parents. In the remainder of this document, “you” refers to the subscribing school, not students and parents.

What Information do we Collect?

We may collect information about users of our system, such as school personnel, and information about students.  The information may be collected directly from the parent or school personnel, or from linked third-party systems such as the school’s student information system used to provide information such as student grade and class information, rosters, or device information.


Personally Identifiable Information
Personally identifiable information identifies you or can be used to identify or contact you. Examples of personally identifiable information include your name, IP address, company name, job title, address, e-mail address, and telephone number.

Non-Personally Identifiable Information
Non-personally identifiable information is information, any single item of which, by itself, cannot be used to identify or contact you, including demographic information (such as age, profession, company industry, gender, current location, or zip code), IP addresses, browser types, domain names, and statistical data involving the use of TechPilot Services. Certain non-personally identifiable information may be considered a part of your personally identifiable information if it were combined with other identifiers (for example, combining your zip code with your street address) in a way that enables you to be identified. But the same pieces of information are considered non-personally identifiable information when they are taken alone or combined only with other non-personally identifiable information (for example, your account preferences).

Why do we Need your Personal Data?
We will only process your personal data in accordance with applicable data protection and privacy laws. We need certain personal data in order to provide you with access to TechPilot services. Upon your first use of TechPilot’s service, you will have been asked to check a tick box indicating your agreement to provide this data in order to access our services. This consent provides us with the legal basis we require under applicable law to process your data. You maintain the right to withdraw such consent at any time. If you do not agree to our use of your personal data in line with this policy, please do not use our platform.

How will we use your Personal Data?

  • To provide, maintain, and improve our services
  • To provide services such as technical support and billing
  • To personalize information we may send you such as system notifications
  • To communicate with you about our products and services
  • To monitor system usage such as system activity, trends, and statistics

Information we collect automatically when you use the Services:
We collect information about you when you use our Services, including browsing our websites and taking certain actions within the Services.

  • Your use of the Services: We keep track of certain information about you when you use our system. This information includes the features you use; the type, size and filenames of attachments you upload to the system; information about the devices registered in the system including hardware, software, and operating system details; information about the website links configured, apps installed, and app requests submitted.  This information is collected in order to provide the service to you and in order to support your use of the service when you contact us for support.
  • Device and Connection Information: We collect information about your computer connection to our service (i.e. the computer and browser uses to access our web-based control panel) as well as details about the devices you register with the system.
  • Account Preferences: our system stores various settings and preferences such as default table settings and notification settings for features within the system
  • Log files: We collect non-personally identifiable information through our system log files for use in maintaining, optimizing, and troubleshooting issues with our system

Where and when is information collected?

Information is collected when using TechPilot services and on an on-going basis as devices sync with our system and you access the system.  The data is stored in databases created and maintained by TechPilot Labs and stored in industry-standard databases using Amazon Web Services on Amazon services which may be distributed among various Amazon data centers in the United States of America.  Personal information such as contact and billing information is stored in commercial systems for CRM software, accounting software, email distribution systems, and help-desk support services systems, all accessed by TechPilot personnel in order to maintain our business relationship with you.

How Long will Data be Stored?
Device and account information is only retained as long as reasonably required for you to use our services.  When accounts are closed, your data is typically erased from our servers within six months to allow for optional restoration of your account should you request to do so.  Accounting and CRM data is retained for multiple years in order to meet legal requirements such as tax and regulatory demands.

What do we do with the information we Collect?
In general, we use the information collected to provide you with a great overall experience using TechPilot services, to provide notifications you configure within our system, to help us understand who uses our services, for internal operations such as operating and improving our services including optimizing servers and data delivery speeds, to contact you for customer service and billing purposes, to provide support services and to occasionally deliver notices of new products and services.

We use your information to send you a welcome e-mail, to provide regular account updates such as notifications of new versions and features, to invite you to events such as trade shows we are attending or webinars we are providing. We always give you the option to unsubscribe in any email we send you with the exception of critical system notifications about your account or service.


What if I don’t want my (or my child’s) information collected?

Parents have the right to review, have deleted and/or refuse to permit further collection or use of
the child’s information.  The data is collected and managed by the child’s school, so requests to review or delete information should be sent to the school. Refusal to permit the school to collect and store the data using our service may have consequences or implications, as determined by the school, which may include the inability of the child to utilize the technology for which the school utilizes our services.

When do we Disclose Information to Third Parties?
We don’t.

Laws and Legal Rights
We may disclose your information (including personally identifiable information) if we believe in good faith that we are required to do so in order to comply with an applicable statute, regulation, rule or law, a subpoena, a search warrant, a court or regulatory order, or other valid legal process. We may disclose personally identifiable information in special circumstances when we have reason to believe that disclosing this information is necessary to identify, contact, or bring legal action against someone who may be violating our Terms of Service, to detect fraud, or to protect the safety and/or security of our users, TechPilot services, or the general public. We are subject to the investigatory and enforcement powers of the Federal Trade Commission (FTC).

We also may be required to disclose an individual’s personal information in response to a lawful request by public authorities, including to meet national security or law enforcement requirements.

Outside Service Providers
We may employ outside service providers ("Providers") to provide specific services and products that link to or integrate with our services such as Apple (VPP, DEP,  ASM, others) or Google (Google Admin account sync), cloud storage providers (Dropbox, Google Drive) or others you choose to add to your account or used as back-end services by our system.  We do not provide information to these providers other than what is required through their link into our system, which you configure and for which you set permissions through those providers when establishing the link.

Other such systems may include hosting, credit card processing and fraud screening, and mailing list hosting for our newsletters and announcements (i.e. services similar to MailChimp). In the course of providing products or services to us, these Providers may have access to information collected through TechPilot services, including your personally identifiable information. We require that these contractors agree to (1) protect the privacy of your personally identifiable information and (2) not use or disclose your personally identifiable information for any purpose other than providing us with the products or services for which we contracted or as required by law.

Does this Privacy Policy apply when I link to other services?
Please be aware that we are not responsible for the privacy practices of any services to which you link your TechPilot account (i.e. Apple, Google, etc.) We encourage you to read the privacy policies or statements of each and every such website and service. This Privacy Policy applies solely to information collected by us through TechPilot services.

Sale of Business
We reserve the right to transfer information to a third party in the event of a sale, merger or other transfer of all or substantially all of the assets of TechPilot Labs, or in the event that we discontinue our business or file a petition or have filed against us a petition in bankruptcy, reorganization or similar proceeding, provided that the third party agrees to adhere to the terms of this Privacy Policy.

Is the information collected through TechPilot services secure?
We take precautions to protect the security of your information. We have physical, electronic, and managerial procedures to help safeguard, prevent unauthorized access, maintain data security, and correctly use your information. However, neither people nor security systems are foolproof, including encryption systems. In addition, people can commit intentional crimes, make mistakes or fail to follow policies. Therefore, while we use reasonable efforts to protect your personally identifiable information, we cannot guarantee its absolute security. If applicable law imposes any non-disclaimable duty to protect your personally identifiable information, you agree that intentional misconduct will be the standards used to measure our compliance with that duty.

Could my Information be Transferred to other Countries?
All hosting, accounting and CRM systems are currently located inside the United States and we do not transfer any of this information to other countries.  Please be advised that all aspects of TechPilot services are governed by the internal laws of the United States and the State of Georgia, USA, regardless of your location.

Can I update or correct my personally identifiable information?
Customers have the right to request the restriction of certain uses and disclosures of personally identifiable information as follows. You can contact us in order to (1) update or correct your personally identifiable information, (2) change your preferences with respect to communications and other information you receive from us, or (3) delete the personally identifiable information maintained about you in our systems (subject to the following paragraph) by closing your account.

You should be aware that it is not technologically possible to remove each and every record of the information you have provided to us from our system. The need to back up our systems to protect information from inadvertent loss means that a copy of your information may exist in a non-erasable form that will be difficult or impossible for us to locate. Promptly after receiving your request, all personal information stored in databases we actively use, and other readily searchable media will be updated, corrected, changed or deleted, as appropriate, as soon as and to the extent reasonably and technically practicable.

How will I know if there are any changes to this Privacy Policy?
We may revise this Privacy Policy from time to time. We will not make changes that result in significant additional uses or disclosures of your personally identifiable information without notifying you of such changes via email or through the dashboard or account area of your account within our system. We may also make non-significant changes to this Privacy Policy that generally will not significantly affect our use of your personally identifiable information, for which such notification is not required. We encourage you to check this page periodically for any changes. If any non-significant changes to this Privacy Policy are unacceptable to you, you must immediately contact us and, stop using TabPilot services until the issue is resolved. Your continued use of TabPilot services following the posting of non-significant changes to this Privacy Policy constitutes your acceptance of those changes.

Does TechPilot Conduct Security Audits?

Yes, we conduct internal audits at least quarterly, although they often occur more often when security patches or fixes are applied to the operating systems and database systems responsible for storing TechPilot data.
